Sunday Daylight
Savings time, set your clocks ahead Sat night
All volunteers please go to the Volunteer
check in table (to the right of the registration table back right hand corner of
the gym) when arriving at race site, check in, pick up sweatshirt ( kids get
t-shirts) and wait there for other volunteers that will be working with you.
Please stay close to that area. It's
difficult to remember what someone looks like to get people together so staying
close to that area is VERY IMPORTANT.
Registration Arrive 6:00-6:15
- We need the registration people as early as possible. Unload the truck and
trailer, organize registration stuff, and signs for course layout.
- Take 3 tables for food out in front of
gym, to the right of the door. Please place them 15-20 feet from door, very
busy there. If possible, down closer to the road.
- Small tables are for post registration sign up, in middle of gym floor.
One small table for volunteer check in person to the right of the gym, looking
at it.
- Get tables from maintenance crew 10
tables, 5 for registration,3 for food out front, 2 for sales inside front door
to the right
- We get there at 6:00am, empty the truck and
need to set up all the tables and shirts for registration before 7:00
- Race packets have to be stuffed. We feel it’s
easier to do it that morning. We have 260 pre-registered runners, so we have to separate that
many shirts (Kathy has breakdown) to save for pre-registered. Race packets, shirts and bottles can
be given out separate from numbers. Put a check mark on the numbers when
distributing bottles shirts etc, so we know they received.
- A table needs to be set middle of gym floor with post registration forms
on it and a sign in front designating pre-registered to this side of the
table, post to the other side to separate them. We have an easel, set it up
in front post registration tables with dry erase board pre-registration one
way, post the other with arrows
- Previous year’s results to be posted up front where people can read
them, high as possible

Set-up 4
- Once the truck is unloaded, we need to load the
cones (pile in back of building) and load in the van
- Find other course set up people and make sure you have at least
3 people.
- Cones are for right side Chapel Hill and the
stretch on Leonardville Rd.
- The ones on Leonardville Road, leave on the
edge of the grass, not in the road.
- After the start goes off we need someone to
walk out that stretch and put them out about 1 foot from line on the edge of
road (south side close to sidewalk)
- Leave by 7:00am to set up.
Parking- Arrive 6:30

Get cones in place for closing different areas and channeling cars.
Use Walkie Talkies, we have 4 of them, put them on the same channel
Warn people in back lot they can not leave until 11:00 am
Try to encourage people to park at Bayshore School as alternative. On
Leonardville Rd, near Start
Signs & Banners Arrive 6:00-6:15
- Get signs out to highway to Rt 36 to get people to race site. Ramp off
highway.
- Place banner out at start, near or on fence
- Place banners out for finish line
- Delineate area for food after race, using green poles and caution tape or
rope. We need to channel people through food are, and keep them out of back
of tables. We have flags this year.
Food Cut-Up-Distribution
Arrive 6:30
- Set up tables out close to finish, not close to the building. Spectators
should not be picking at food as the race is going on, it's for the athletes
that are running.
- We need to cut up fruit for fruit salad. This may take a few hours. Anyone
racing can help out with this. We have 3 plastic bowls as well as a large
bucket for extra. Set up a garbage bag for waste and try to bring to
dumpster as they fill up.
- Set up food (fruit, water) behind food area. Make an area for volunteers
only, I have flags this year with some green posts. Use them to designate
the area. We have 400 mini bagels, and I ordered 20 dozen muffins. Cut
the muffins in half, they are huge.
- Set up cups, fill with water or drink mix. Water needs to be filled up
with hose.
- Do not place all food out at once. Very Important to save some for
slower runners
- Cut bannana's in half
- We have to save some for the 15k runners
- DO NOT let people take boxes of food to take home, tell them to save some
for others. If there is some left over at the end, then it's ok.
Water Stop Arrive no
later than 8:00 see

Water stop volunteers hand out water, pick up cups, put in bag. bag
everything up and leave there if you are heading home A truck will come
through and pick up. If you are coming back to site, you can take whatever you
want back, place near trailer, garbage in dumpster.
Water stop mile 2/8 works water stop just past mile 2, after last runner
leaves, clean up cups, take cups and extra water to water stop 8 and get ready
for that. Some people will be there already for the 5k.
Be sure to stand
out of the way of the runners. Make sure kids know to stand with their hand to
the side, holding cup out with palm up, not grasping cup.
Fill up cups
about half way
Some runners
will take water from volunteer very fast, especially the front runners.
Spread out so
everyone has a chance to get water if needed.
After last
runner goes by, clean up cups, put in garbage bag.

Leave for stations at 8:40

Go to top of Serpentine ( Southside Ave) and Portland road and mark pavement.

Runners must turn up Serpentine for 3 Mile. John
Kuhi will be there ( guy with the clock) with megaphone. If for some reason
you do not see him, that corner needs to be covered. Yell, 3 mile turn up
here!!!! 15k Straight!

Make sure there is a sign to direct people
towards the top of the hill. There is a small road to the right ( gravel) we
want to make sure they do not turn there. Go straight

At the end of (now Southside Ave) we need another person at the corner of Portland
and Southside Ave. Please tell runners to turn left and stay to the left of
Portland until they can cross over to top of Beacon Hill Country Club Road.
Water stop there.
Sales Arrive 6:30

Gather all sale clothing items with 2 tables real close to door.

Display prices on sheets.

Display merchandise, as much as you can.

Figure out sizes and arrange in piles if possible.
